Software “KITALE” – Digital management platform for daycare facilities and schools
§ 1 General description
- 1.1
“KITALE” is a cloud-based Software-as-a-Service (SaaS) platform for the digital administration, communication and organisation of daycare facilities (nurseries, kindergartens) and schools.
- 1.2
The software is used via a current web browser and requires no local installation. It is optimised for desktop and mobile devices.
- 1.3
The platform is based on a multi-tenant architecture: each customer (provider) receives its own, logically separated data area. Parents can manage children at different facilities (tenants) with a single account.
- 1.4
Hosting takes place on ISO-certified servers in Germany (Hetzner Online GmbH).
- 1.5
The functional scope is divided into three modular service packages (see § 2). The specific scope ordered results from the main contract.

The scope of the software is divided into three packages. Package 1 forms the basis, Package 2 adds catering and billing functions, Package 3 covers optional add-on modules.

§ 4 Technical requirements
- 4.1
To use the software, the customer requires:
- Internet-capable devices (PC, tablet, smartphone)
- Current web browser (Chrome, Firefox, Safari, Edge – current version respectively)
- Stable internet connection
- 4.2
Providing the technical requirements is the customer's responsibility pursuant to § 3.1 of the main contract.
§ 5 Not included in the scope of services
- 5.1
The following services are not part of Packages 1 and 2 and require a separate agreement (where applicable within Package 3):
- Custom development and customer-specific adaptations of the software
- Data migration from legacy systems (support possible on request)
- Training on site or via video (on request for separate remuneration)
- Hardware procurement (devices, network infrastructure)
- Establishing the internet connection between the customer's IT systems and the provider's server
- Direct API connection to authorities and cost bearers (not possible due to social-data confidentiality)
§ 6 Further development
- 6.1
The provider continuously develops the software further. New functions and modules may be made available as part of regular updates (cf. § 5.4 of the main contract).
- 6.2
Planned future extensions include, among others:
- Mobile app (iOS / Android) via App Store and Google Play Store
- Pedagogical functions (development reports, portfolio, observation sheets)
- Shift-planning and staff management with dynamic capacity checks
- Advanced billing functions (parental contributions, invoices, dunning)
- 6.3
The extensions mentioned in § 6.2 do not constitute a binding commitment. The actual scope and timetable of future releases is at the provider's discretion.
§ 7 Changes to the service description
- 7.1
This service description may be amended by the provider in the event of functional further development or changes to the software.
- 7.2
Material changes to the functional scope that impair the customer's existing workflows will be announced at least 30 days in advance pursuant to § 5.4 of the main contract.
- 7.3
The respective current version of this service description is available at kitale.de/en/leistungsbeschreibung.
- 7.4
As this service description may be updated at any time, each contracting party is obliged to download and store, in an audit-proof manner, the version of this service description valid at the time of concluding an order form as a PDF or in another permanently reproducible form. Solely the version valid at the time of signing the order form and locally archived by the customer is authoritative for the respective contract. The provider is not obliged to keep earlier versions of this service description permanently available online.
